We strive to provide guests with a seamless booking experience while maintaining transparency and fairness in our payment and cancellation policies. By making a reservation, completing check-in, or entering the property, you acknowledge and agree to comply with the policies outlined below.

2. Check-In and Guest Identification

Self check-in is mandatory. All guests must complete the check-in form prior to arrival. During this process, guests may be asked to securely submit:

  • A clear selfie
  • A valid government-issued photo ID (physical ID only, no scans or screenshots)
  • An e-signature
  • Payment card details if not already collected

These details are used solely for identity verification, booking validation, and legal compliance.

3. Anti-Fraud & Safe Communication Policy

To protect our guests from fraudulent activity:

  • Always ensure the link begins with https:// before submitting any information
  • We will never ask for sensitive information via unsecured platforms

4. Payment and Cancellation Policy

At Rasa Sayang House, we offer various payment and cancellation terms tailored to different booking types to meet the diverse needs of our guests and manage bookings effectively. We kindly ask guests to carefully review and select the booking option that best suits their needs. All bookings require 100% pre-payment, processed securely via links provided through our booking system or official email communications. "CheckInCheckOut" or "CiCoSolutions" will appear on your bank statement.

4.1 Flexible Policy ('Semi-flexible Terms')

  • Payment: Full pre-payment is required at the time of booking to secure your reservation, ensuring exclusive accommodation for the duration of your stay.
  • Cancellation: Free cancellation up to 48 hours before arrival. Non-refundable after that. This policy helps cover costs incurred for holding the reserved accommodation and potential revenue loss.

4.2 Non-refundable Policy ('Super-Strict Terms')

  • Payment: Full payment is taken at the time of booking and is non-refundable.
  • Cancellation: No refund at any time, regardless of circumstances. This policy covers costs incurred by Rasa Sayang House for holding accommodations and compensates for potential revenue loss.
  • Recommendation: We highly recommend guests take out comprehensive travel insurance to cover unexpected events such as illness or travel disruptions.

4.3 Weekly Stay Policy (7–13 nights, 'Moderate Terms')

  • Payment: Full payment is taken at the time of booking.
  • Cancellation: Free cancellation up to 7 days before arrival. If cancelled within 7 days or in the event of a no-show, the full payment is non-refundable.

4.4 Long Stay Policy (13–28 nights, 'Firm Terms')

  • Payment: Full payment is taken at the time of booking.
  • Cancellation: Free cancellation up to 14 days before arrival. Cancellations made within 14 days or no-shows will result in a non-refundable payment.

4.5 Currency

All rates are in Great British Pounds (GBP) unless agreed otherwise in writing. Payments in other currencies will be converted at the prevailing exchange rate determined by CiCo Solutions Limited or its authorized payment processors.

4.6 Refund Processing Times

Refunds for eligible cancellations will be processed within 14 business days from the date of cancellation. The actual time for funds to reflect in your account may vary depending on your financial institution's processing times.

4.7 Local Taxes and Fees

All quoted rates are subject to applicable local taxes and fees, detailed in your reservation confirmation. Any additional taxes imposed after booking are the guest's responsibility and must be settled upon check-out.

4.8 Payment Processing

All payments made under the CiCo Solutions Limited policies are processed by CheckInCheckOut Trading as CiCo Solutions Limited in accordance with the agreed booking arrangements.

5. Card Usage

The card on file may be used for identity confirmation, added services, or recovery of damages or violations.

6. Check-In / Check-Out Times

Check-in from 4:00 PM, check-out by 11:00 AM. Early or late check-outs are subject to availability and fees.

7. House Rules

  • No smoking indoors
  • No unregistered guests or parties
  • Quiet hours from 10:00 PM to 9:00 AM
  • Use amenities responsibly

Violations may result in removal without refund.

8. Prohibited Conduct & Safety

  • Illegal substances are strictly forbidden
  • £200 fine for tampering with smoke detectors
  • Smoking only in designated areas
  • CCTV operates in communal areas

9. Fire Safety

Familiarise yourself with evacuation routes. Weekly alarm tests are conducted on Wednesdays between 12:00 PM and 1:00 PM. Evacuate immediately for any alarm outside that time.

10. Damage & Liability

Guests are liable for any damages. Rasa Sayang House is not liable for personal injury or loss unless required by UK law. We strongly recommend travel insurance.

11. Data Protection

All collected personal data is securely stored and used only for legal and operational purposes. See our Privacy Policy for full details.

12. Compliance & Termination

Non-compliance may result in immediate cancellation of your stay without refund. These terms serve as the standard policies across all subsidiaries and associated brands under CheckInCheckOut Trading as CiCo Solutions Limited.

13. Legal Terms

These Terms are governed by the laws of England and Wales. Any disputes shall be handled in their courts.
